Terms

These terms are between you and Benjamin Barber, operator of BillFlow Ai, Discovery House, 5 Barling Way, Nuneaton CV10 7RH, United Kingdom. BillFlow Ai is not registered at Companies House, is not a limited company, and is not VAT registered. Draft bills in Xero may still default to GBP and 20% input VAT. The service

Capture (private alias or upload) → extract → optional review threshold → a Xero ACCPAY bill with Status DRAFT and the original PDF attached. CSV export remains a fallback. You remain responsible for reviewing drafts before they are authorised in Xero.

You must have authority to connect the Xero organisation you choose. BillFlow Ai does not authorise bills, make payments, or file VAT returns.

Extraction rules

The printed total on the document wins when line maths disagree. The disagreement is flagged. It is not silently rewritten. Duplicates (same user, vendor and invoice number) are never pushed.

Price

14-day trial, then £19 per month. One fee. Charged in GBP. No card to start. Cancel any time; access continues until the period ends.

Acceptable use

Use the service for your own practice or for client files you are engaged to process. Do not share one alias across unrelated firms.

Disconnect

You can disconnect Xero from the connection page in the app. We revoke the token. Drafts already in Xero stay there; we do not delete the organisation’s bills.

Liability

We take reasonable care on extraction. You review before authorising in Xero. We do not claim that every extract is perfect.
